Activate or deactivate a custom workflow

Custom workflows won’t be implemented until you activate them. To provide you with more control over the workflows, Cimpl allows you to select which workflows should be Active.

Activate a custom workflow:

  1. Go to Configuration > System Preferences > Workflow Configuration.
  2. Click Actions beside the entry for the workflow you want to activate.

    Note: If the workflow’s status is already Active, its action button does not display the Activate option. Only workflows with have an Inactive status can be activated.

  3. Click Activate.

    Note: If the workflow was defined properly and is not missing any mandatory information, it is displayed with an Active status once you have clicked the Activate button.

    Otherwise, the workflow’s status will remain as Inactive and a message is displayed to inform you that the workflow was not defined properly. The message asks if you would like to edit the workflow.

    If an Action Type is set to Approval not required in the Request Configuration, the Activate action is disabled for all workflows with that Action Type. Furthermore, the status for all of these workflows is set to Inactive and cannot be changed until the Action Type has been set to “Approval is required.”

  4. Click Yes to open the workflow edit page.
  5. Click Cancel to close the pop-up and remain on the Workflow grid.

Deactivate a workflow

Custom workflows may need to be updated to accommodate different requests. However, until the changes have been applied, users may want to deactivate the workflows to prevent them from being applied to service requests.

Note: Deactivating a workflow will only impact new workflows. Any action that is in progress will continue until it completes all the steps in the now-deactivated workflow.

Deactivate a custom workflow:

  1. Go to Configuration > System Preferences > Workflow Configuration.

  2. Click Actions beside the entry for the workflow you want to deactivate.

    Note: The workflow’s status cannot already be Inactive. it must have an Active status before you can deactivate it.

  3. Select Deactivate. A confirmation message is displayed that prompts you to confirm or cancel your deactivation attempt.
  4. Click OK to change the workflow’s status to Inactive or click Cancel to close the message and prevent the workflow’s status from being updated to Inactive.
